Track payouts and balances
Record what you actually paid each agent, and let SplitRun carry the difference forward. Confirm payments, fix mistakes, advance money, write off small debts, and see how every balance got where it is.
A statement says what an agent earned. Payouts records what you paid them. When the two differ, the difference carries into the next month instead of living in a spreadsheet or a hand-made adjustment. Admins only.
Where
Go to Payouts, under Closing the month in the sidebar. It has two views:
- By month: every agent for one month. This is where you confirm payments.
- By agent: one agent, every tracked month, and how their balance moved. This is where you record an advance or settle a balance.
Setup lives in Settings → Payouts: the start month, opening balances and small amounts.
Start tracking
In Settings → Payouts, choose the month to Track payouts from and save. Balances start from that month; earlier months stay as they are.
If agents already carry balances from before (from your old spreadsheet), enter them once under Opening balances on the same page, with a note on where the figures come from.
Once a payment, advance or write-off is recorded, the start month and opening balances are fixed, and the page shows them as a sentence rather than something to edit. To correct a balance after that, use Advance or Settle balance on the agent.
Start after your last hand-made carry-forward. If a month already holds adjustments that settle an old balance, and you also enter that balance as an opening balance, it counts twice.
Reading a month
| Column | What it means |
|---|---|
| Earned | The agent's statement total for the month. |
| Brought forward | The balance carried in from earlier months, plus any correction booked into this month. |
| Payout due | Earned plus brought forward: what you owe them this month. |
| Paid | What you confirmed you sent, and when. |
| Carried forward | What is left over, which becomes next month's brought forward. Positive means you still owe the agent; negative means they owe you. A row nobody has answered for shows pending here instead; if a balance brought in passes through it regardless, a note under it says so. |
Until every payment is confirmed, the last total at the top shows Not confirmed instead: what is still waiting for an answer.
Click a row to see how its numbers are made up, every payment recorded against it, and every change with its reason.
Statuses
| Status | Meaning |
|---|---|
| Not confirmed | Nobody has said what happened yet. The month's earnings are pending: not owed, not carried, on no statement. |
| Not paid | You said it was not paid. The payout is owed and carries into the next month. |
| Held | Under your minimum payout (Settings → Payouts). It carries forward as owed until the balance reaches the minimum. Nothing to confirm, unless you pay it anyway. |
| Paid | Paid exactly what was due. |
| Part paid | Paid less than was due; the rest carries forward. |
| Paid as earned | Paid the month's earnings, but an older balance the agent owed back was not taken off. The debt carries on. |
| Overpaid | Paid more than was due; the extra carries forward as money owed back. |
| Paid ahead | An advance went out against this month. |
| Nothing to pay | Nothing was due. |
A month nobody has answered for is pending, not owed. SplitRun does not assume it was paid, and does not assume it was not: nothing from it reaches a balance, a statement or a workbook until you say which. A balance the agent already carried in (from a month you did confirm) keeps carrying. The Dashboard's What needs you card lists every month with pending amounts.
Confirm payments
On By month, a row that is not confirmed offers its payout due as the amount. Change it if you sent something different, set the date, and choose Confirm payment.
To confirm the whole month at once, set Paid on and choose Confirm all as paid. Tick rows first to confirm only those.
If a payout did not go out and should carry into the next month, enter 0 as the amount (or choose Not paid?, which does that for you) and say why. The button becomes Not paid, carry it forward. For the whole month, use Not paid in the bar. The month reads Not paid, the amount carries forward, and the next statement shows it as brought forward. It can be undone, which puts the month back to not confirmed.
You can also confirm from By agent: open the agent, then open a month. It lists every payment, advance, repayment and write-off recorded against it, each of which can be changed or undone there, and offers whatever is still owed, including after an advance. The same Not paid? answer is there.
Fix a payment
Open the row and edit the payment's amount or date, or undo it. Every change asks why, and the reason stays on the row.
The change always shows on the month it corrects. If the months after it are already closed, they are left exactly as they were sent, and the difference lands in the open month instead. The row says so, for example +$470.02 lands in Aug 2026, and that month's brought forward names where it came from.
Advances, repayments and write-offs
Advances and settlements live on By agent, beside the agent's balance, and each asks for a reason.
- Advance: money sent before it was earned. It is recorded against the month of its date, so confirming that month offers the payout with the advance already taken off; anything left carries as a balance the agent owes back. If a later month is already published, it lands in the open month instead. Also available from a row on By month.
- Settle balance: when an agent owes you money, record that they sent it back, or that you are writing it off.
- Small amounts, in Settings → Payouts, two settings in opposite directions:
- Write off debts up to a limit: any debt an agent owes back at or under it is written off automatically when you publish a month. Each write-off can be undone.
- Hold payouts under a minimum: a month whose payout is under it reads Held and carries forward as owed, so small amounts accumulate instead of going out one transfer at a time. Nothing is written off. Once the balance reaches the minimum, the month offers the total to confirm. The agent's statement says the money is held and until when.
Anything recorded by mistake can be undone from the agent's timeline.
Written-off money is a cost to the house. It shows as its own Waived line on the dashboard and in the house workbook, never mixed into earnings.
What agents see
When a balance carries into a month, the agent's statement ends in three lines instead of one total:
- Earned this month
- Brought forward from earlier months
- Payout due
The same lines appear on the PDF, in the agent portal and in the agent's workbook. When nothing carries, the statement ends in its usual total. If an agent owes back more than the month earned, payout due shows $0.00 and a line says what carries on.
An active agent who earned nothing in a month but still carries a balance gets a short statement too: no earnings, then the same three lines, emailed with everyone else's. Inactive agents do not; their balances stay on this page for you to settle.
If you restate a month that was already paid, and an agent's figure changes, that month's statement keeps its plain total. The difference arrives on a later statement as brought forward.
Once you start tracking, the portal also has My Payments (agents at an org that does not track payouts do not see it): the agent's balance as of their latest statement, then one row per statement month with what they earned, what was brought forward, what was paid against it (with the date, and any advance, repayment or write-off), and what carries forward. Beside it are their totals by year (earned by month, paid by date sent). It goes only up to the latest published month. A month you have not recorded yet reads Not recorded yet and stays out of the balance. Reasons and other agents' figures are never shown.
Publishing and restating
- Before you publish, the publish dialog warns if last month's payments are not confirmed. Pending money carries nothing, so those statements would say nothing about last month either way: confirm it if it was paid, or mark it Not paid so it carries.
- Re-publishing a month whose later months are already closed does not rewrite what was paid. The difference is booked into the open month as a correction, and the publish dialog says where before you click.
Workbooks
Both are under Workbook at the top of By month.
- Summary: one row per agent. After Net Payable (this month's earnings, adjustments and corrections) come Earlier balance, what carried in from earlier months, and Payout due, the amount to send. Payout due matches this page and the agent's statement.
- Detailed: one row per payout. It holds the month's earnings and corrections only, not balances carried from earlier months.
