Manage agents
The Agents list and detail — add agents, read the payout-type filter pills, spot coverage gaps, and open an agent's agreements, overrides, and deductions.
Agents are everyone who gets paid out of your revenue — sales reps, managers taking overrides, and affiliates/partners taking rebates. They all live on the Agents page; what makes them different is how they earn (their payout types).
The agent list
Go to Agents. The list shows each agent with:
- Payouts configured — colored chips summarizing how they earn: Commission (with vendor count), Override (with managed-rep count), and any deduction types they're a payee on (e.g. Affiliate, with account count).
- A coverage badge — Covered, or N not earning when some of their assignments have no matching rate.
- Last period payout — what they were paid most recently.
Filter pills
Above the list, pills let you filter by how agents earn: All agents, Commission, Override, Incentive (agents on a bonus line, with a chip on the row), one pill per payee deduction type (e.g. Affiliate, Froogle), and Needs attention (agents with coverage gaps). Each pill only appears when someone actually matches, so it's never a dead filter. Use these to answer questions like "who's on a bonus?" or "who still needs a rate?"
The list shows each agent's email in its own column beside the name (sortable and searchable), so rows stay on one line.
Add agents
The quickest way to add several is in the setup wizard (Setup → Agents & Assignments): type or paste names, one per line. Agents are also auto-created when you import an assignment sheet that names them. You can add or edit individuals from the Agents page too.
The agent detail page
Click an agent to open their detail. It's the hub for everything they earn:
- Agent editor — name, email, and which report format they get (Summary / Detailed / Detailed + month-over-month).
- Vendor Agreements — their commission rate, base, and effective dates per vendor/income type, with a collapsible list of the merchants they cover. See Commission agreements.
- Shared Accounts — sits under Vendor Agreements when this agent co-owns an account with someone. Accounts are grouped by co-owner and collapsed, showing each side's share, the total allocated, and over 100% / mixed warnings, plus a bulk editor for this agent's share. See Shared accounts.
- Overrides — the reps they manage and the % they take on each. See Overrides.
- Incentives — appears when the agent is on a bonus programme: what it pays in plain English, its window, a badge if it's archived/on hold/expired, and the amount it last paid them. Read-only — incentives are created on the Incentives page.
- Deductions — any affiliate/partner deductions they're the payee for. See Affiliates as agents.
- Assigned Accounts — the merchants they're assigned to (with unassign).
- Portal Access — a toggle that gives the agent a login to view their own statements. It uses the agent's single Email field (there's no separate invite email), so the toggle stays disabled until the agent has an email. Turning it on creates and invites the login; turning it off blocks it (reversible). Editing the agent's email keeps the login in sync. That same email is where published statements are sent — so an agent with no email won't receive them.
When a rep leaves
Deactivate the agent with a last active period so the engine pays them through that month and stops afterward — and optionally reassign their accounts to a successor. Deactivated agents move to an Inactive agents section on the Agents page (not hidden), where they can be reactivated or deleted. See Deactivate, terminate & replace an agent.
"Needs attention" / coverage gaps
An agent flagged not earning usually has an assignment without a matching agreement, or an agreement whose effective date hasn't started (or has expired). Open the agent and check their Vendor Agreements — the fix is almost always adding or dating an agreement. See Commission agreements.
