Frequently asked questions
Quick answers to common SplitRun questions — assignment, rates, back-dating, currency, agent visibility, re-uploads, and the difference between fees and affiliates.
How long does a monthly run take once I'm set up? Usually 10–15 minutes — upload the files, check what matched, verify with the Payroll Summary, then lock & publish. Most of the time is verification, not data entry.
Do I have to press "calculate"? No. SplitRun recalculates automatically when data or configuration changes. When a change affects history it asks which period to recalculate from, then runs in the background. See Recalculating.
I loaded three months of back-data at once. Will old months calculate correctly? Yes — as long as your rates have effective dates on or before those months. A rate "effective January 1" pays out correctly on January onward. See Commission agreements.
Where do I set an agent's commission percentage? On the agent's commission agreement (their vendor/income-type rate), not on the merchant. Assigning an agent to a merchant only decides who earns; the agreement decides how much. See Assign an agent.
What's the difference between a fee and an affiliate? They're the same mechanism — a deduction taken before commissions. A fee is a cost paid to no one; an affiliate/partner deduction is paid to an agent. Toggle "Paid to agent / Cost" when you add it. See Add a deduction.
Can one person earn commission and an override and an affiliate? Yes. The same agent can earn through all three payout types at once, and reports keep each stream separate.
Can two agents split one merchant? Yes. Assign both to the merchant, then give each a Share % so each earns their portion as real commission — that's a shared account. Don't use an override to model a split.
How do I pay someone the same bonus every month? Create a recurring incentive (a standing bonus line) instead of re-entering an adjustment each period.
Can I pay a rep a different bonus rate on their solo vs. shared accounts? Yes — give them two bonus lines: one with base Solo accounts, one with Shared accounts, each at its own rate. They don't overlap, so there's no double-count. You can also base a bonus on Overrides or a flat amount.
Can I invite all my agents to the portal at once? Yes — Settings → Users → Agents lets you multi-select agents and Invite selected in one batch. Agent logins don't use admin seats. See Invite users & roles.
How do I pay an affiliate per transaction (e.g. $0.02 each)? Map the transaction-count column as a Number custom field, then add a $/unit deduction with that field. It calculates automatically every period. See Add a deduction.
A rep left — how do I stop paying them without erasing their history? Deactivate them with a last active period. They keep everything through that month; the engine stops after it. You can reassign their accounts to a successor in the same step.
I'm reconciling April but new rates aren't applying to it. Check the Effective from date on the agreement/deduction. It now defaults to your earliest data, but if it's set to the current month it won't reach back — set it to the start of the period you're reconciling. See effective dates.
How do I change a rate without messing up past months? Create a new rate effective from the change date. SplitRun closes the old agreement and starts the new one; past months keep the old rate. See Commission agreements.
A processor pays me in USD but I report in CAD. What do I do? Set that data source's currency, then enter a per-month exchange rate (you'll often be prompted at upload). See Reporting currency.
What do my agents see, and when? Only periods you've published, and only their own statement — never work-in-progress. Give a rep portal access from their agent page. See Lock & publish and Users & roles.
I got a corrected file from a vendor. How do I replace it? Re-upload it for the same source/period and choose Replace. The old import is kept for audit but excluded from calculations. See Import history.
My "Processor 1 / 2 / 3" names are placeholders. Can I rename them? Yes — rename a data source anytime (Settings → Vendors or the source page). It's cosmetic and changes no numbers. To rename entity types (Merchant, Agent, etc.), use Labels.
Can I give someone access to run the numbers but not change rates? Yes — invite them as a read-only user. See Invite users & roles.
Something's wrong and I can't tell what. Work through My numbers look wrong — it's organized by symptom.
