Deactivate, terminate & replace an agent

Offboard a rep with a termination date so the engine stops paying them after their last period, reassign their accounts to a successor, and find or delete inactive agents.

When a rep leaves, you want two things: they keep credit for the periods they worked, and the engine stops paying them afterward. SplitRun handles this with a termination date — not just a hidden/active flag.

Deactivate a rep (with a termination date)

  1. Open Agents → the agent → Deactivate.
  2. Choose their last active period — the final month they should be paid for.
  3. Optionally pick a successor under Reassign their accounts to (see below).
  4. Confirm.

What happens:

  • The engine pays them normally through their last active period and skips them for every period after it — commission, overrides, deduction/affiliate payouts, and bonuses all stop. Their earlier history is untouched.
  • Activate later clears the termination date and resumes them.
This replaces the old behavior where "deactivate" only hid a rep from pickers but the engine kept paying them, and moving their accounts rewrote history. Now the departed rep keeps their final-month commission and any overrides on them stay intact.

Reassign their accounts to a successor

In the Deactivate dialog, the Reassign their accounts to picker hands the departing rep's merchants to another agent. On confirm:

  • The departing rep keeps everything through their last active period.
  • The successor is assigned every one of those merchants effective the next month — so they earn from then on, with no history rewritten and no double-counting.

One thing to watch: reassignment applies the successor to all unlocked periods. If you're mid-reconciliation, lock the departing rep's final reconciled periods before reassigning, so the successor's assignment can't reach back into a month you've already settled.

Find inactive agents

Deactivated agents don't vanish — the Agents page has an Inactive agents section listing each one with their termination date, linking to their page where you can reactivate or delete them.

Delete an agent

You can Delete permanently only an agent with no footprint — no payouts, assignments, agreements, overrides, deductions, or plan assignments. This is for a mistakenly-created agent. If the agent has any history, SplitRun tells you to deactivate instead (deleting would erase real records). The Delete permanently link appears on an inactive agent's page.
